Optical Supplier RFQ Technical Package Checklist

An optical supplier RFQ package should contain a controlled drawing and model set, optical function and critical characteristics, materials and substitutions, coatings, quantities and build stages, applicable specifications, inspection and data requirements, packaging, schedule, quality and traceability expectations, deviation process, export or handling constraints, and explicit questions that reveal process and metrology capability.

    Why this decision matters

This choice affects more than nominal optical performance. It changes package volume, tolerance sensitivity, supplier options, alignment effort, calibration, test equipment, production yield, and the evidence required before release. The correct answer therefore comes from the complete operating condition and acceptance method, not from a single catalog value.

    Key engineering decisions

    • Separate prototype learning requirements from released production requirements and identify which characteristics may be negotiated.
    • Ask suppliers to state the intended fabrication, coating, centering, assembly, and metrology methods rather than quote only price and lead time.
    • Define what data accompanies the quotation, first article, each lot, each serialized assembly, and any deviation request.
    • Use comparable bid assumptions for material, tooling, nonrecurring engineering, yield, sampling, packaging, shipping, and schedule risk.

These decisions should be captured in a requirement or trade study before the team commits long-lead components. Where requirements conflict, rank the product priorities explicitly so optimization does not hide a business decision.

    Specification checklist

    • Revision-controlled optical drawings, CAD, prescriptions or sag files, BOM, and interface documents
    • Material grade, melt or lot data, substitutions, coatings, witness samples, and durability
    • Surface form, figure, centration, roughness, cosmetics, dimensions, and environmental conditions
    • Quantity, prototype and production stages, delivery schedule, packaging, shelf life, and traceability
    • Inspection method, uncertainty, raw and summary data, first article, sampling, deviations, and change notification

Every value should state the condition where it applies and how it will be measured. A specification without a defined test condition is not yet an acceptance requirement.

    Common failure mode

Suppliers quote different assumptions because the package omits measurement conditions, allowed substitutions, coating witness criteria, data deliverables, tooling, inspection sampling, or deviation rules. The lowest apparent bid later becomes a schedule, acceptance, or yield problem.

The practical remedy is to compare the nominal model, tolerance prediction, mechanical interfaces, and measured configuration together. Treating the symptom as an isolated lens or component problem often produces another build with the same system-level limitation.

    Verification approach

Run a bid-normalization and technical-capability review before award. Resolve exceptions in writing, review sample reports and metrology limits, confirm special-process sources and material availability, and make the accepted quotation assumptions part of the controlled purchase package.

Record the hardware revision, source or scene, wavelength, aperture, field point, focus or alignment state, environmental condition, processing, and measurement uncertainty. This makes the result useful for design iteration and supplier transfer rather than only for a one-time demonstration.

    What to send PAO

Send the current drawing and model revisions, quantities and stages, required schedule, materials and coatings, critical characteristics, inspection and data needs, candidate suppliers, received exceptions, and any cost, yield, export, or quality constraints.

PAO applies this framework through custom optical fabrication and assembly, from requirements and architecture through detailed design, prototype evidence, and manufacturing transfer.
